Who we are

Companion is a member app for gyms, made by ANYCOMPCOMPANY LTD, trading as AnyCompCo (“we”, “us”). Gyms use it to run classes, memberships, documents and coaching tools. We are the data controller for your Companion account and the information the app needs to work.

  • Company number: 17065241
  • Registered office: 726 Burnley Road, Rossendale, England, BB4 8BH
  • Email: hello@anycompcompany.co.uk

Each gym you join is also responsible for how it uses the membership information it holds about you, for example its own records and its own Stripe account. For day-to-day membership questions you can ask your gym directly.

This notice covers the Companion apps on iPhone and Android. The AnyCompCo website has its own privacy policy.

What we collect

Your account

  • Email address and password. Passwords are handled by our sign-in service and we never see them in plain text.
  • If you turn on Face ID, Touch ID or fingerprint unlock, the check happens on your device. We do not receive your biometric data.

Your profile

  • First name and surname
  • Optional photo
  • Phone number, date of birth, gender and weight
  • Belt, stripes and the date you were awarded them
  • An emergency contact’s name and phone number

Using the app

  • The gyms you join and your membership status (for example pending, active or inactive, and staff roles)
  • Class bookings and attendance
  • Documents you sign, such as waivers, with the date you signed
  • Feedback you send to coaches
  • Memberships and drop-in sessions you buy: the plan, price, dates and payment status. Card details are entered with Stripe and never reach us.
  • For drop-in bookings, any extra attendee name, email or phone you enter on the booking form
  • A device token if you allow notifications, so we can send class and gym updates to your phone
  • Basic technical logs needed to run and secure the service, such as sign-in activity and errors

We do not track you across other apps or websites, we do not use advertising networks, and we do not sell personal information.

Why we use it

We use your information to:

  • Create and run your account and your memberships at the gyms you join
  • Let you book classes, and let coaches see who is coming
  • Keep training records such as belts and stripes
  • Give coaches an emergency contact if something goes wrong on the mats
  • Take payments for memberships and drop-ins through your gym’s Stripe account
  • Send essential emails (for example confirmation codes and password resets) and the notifications you allow
  • Show gyms attendance statistics
  • Answer feedback and support requests
  • Keep the service secure and working

UK GDPR legal bases:

  • Contract: running the account and memberships you asked for.
  • Legitimate interests: keeping the service secure, gym attendance statistics, and making emergency contacts available to coaches. You can object; see Your rights.
  • Consent: notifications and your optional photo. You can withdraw consent at any time in the app or in your phone’s settings.
  • Legal obligation: keeping payment records for as long as accounting law requires.

Who can see it

  • Coaches and admins at a gym you join can see your profile, emergency contact, membership, bookings, attendance, signed documents and any feedback you send them, so they can run classes and look after members.
  • Other active members of that gym can see your name and photo (if you added one) on a class’s “who’s going” list. They cannot see the rest of your profile.
  • People who only book drop-ins at a gym cannot see who is attending there.
  • AnyCompCo staff can access account data when needed to support you, fix a problem or meet a legal duty.

Service providers

We use these providers to run Companion. They process data on our behalf or, for payments, on your gym’s behalf, and not for their own marketing:

  • Amazon Web Services (AWS): hosting, sign-in, database, file storage and email. Stored in London (eu-west-2). AWS privacy
  • Stripe: card payments for memberships and drop-ins, taken on your gym’s own Stripe account. Stripe privacy
  • Apple (Apple Push Notification service) and Google (Firebase Cloud Messaging): delivering notifications to iPhone and Android devices. Apple privacy · Google privacy

We may also disclose information if the law requires it, or to professional advisers (for example accountants or solicitors) under confidentiality.

International transfers

Your account data is stored in the UK. Stripe, Apple and Google may process some data outside the UK. Where that happens we rely on the UK’s mechanisms for international transfers, such as the UK Extension to the EU-US Data Privacy Framework where a provider is certified, or the UK International Data Transfer Addendum.

How long we keep it

  • Your account and profile: while you have an account. Delete it at any time and your personal data is removed straight away (see below).
  • Backups: deleted data is overwritten in our backups within 35 days.
  • Technical logs: up to 30 days.
  • Feedback: while it is useful to your coaches, or until you delete your account.
  • Payment and drop-in records: kept, with your name and email removed, for up to six years where accounting rules require it.
  • Signed waivers: kept by the gym as a legal record, including after you delete your account.

Deleting your account

In the app, open Profile (or Your gyms if you haven’t been approved yet), choose Delete account and type DELETE. If you can’t sign in or no longer have the app, email hello@anycompcompany.co.uk from your account email. Full details of what is deleted and what is kept are on the delete your account page.

Your rights

Under UK GDPR you can ask us to:

  • Access the personal data we hold about you
  • Correct inaccurate data (you can also edit most of your profile in the app)
  • Erase your data (you can also delete your account in the app)
  • Restrict or object to certain processing, including legitimate interests
  • Receive a copy of data you provided, in a portable format, where that right applies

Email hello@anycompcompany.co.uk. We will respond within one month, or tell you if we need more time. We may need to confirm who you are before we act. Companion makes no automated decisions about you that have legal or similarly significant effects.

Children

Companion is not designed for children to use on their own. If an account is created for someone under 18, a parent or guardian should be aware of it and can contact us about it at any time.

Complaints

If you are unhappy with how we handle your data, email us first. You can also complain to the UK Information Commissioner’s Office (ICO): ico.org.uk, or write to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

Changes

We will update this notice when the app, our providers or the law changes. The date at the top is the latest version.
